Terms & Conditions

Last updated: 19 October 2026

These terms govern your use of TravelOS, the online travel platform of United Pan Holidays, and every booking you make through it. By creating an account, submitting a booking request or making a payment you agree to them.

1. Who we are and our role

TravelOS is operated by United Pan Holidays. We arrange hotels, activities, transfers and related travel services. For most services we act as an intermediary between you and the independent supplier (hotel, tour or transfer operator) who actually provides the service. Each supplier’s own terms also apply to your booking.

2. Eligibility and account

You must be at least 18 years old and able to enter a binding contract. Information you provide must be accurate and complete; traveller names must match their passports or government IDs.

You are responsible for keeping your login details confidential and for all activity under your account.

3. How booking works

  • Planning a Journey, saving hotels, activities or transfers, and viewing indicative prices is not a booking and does not reserve anything.
  • Submitting a booking request sends your traveller details to us. A booking is confirmed only when we send you a written confirmation (email) after the suppliers confirm availability.
  • Prices and availability can change until confirmation. If a price or availability changes, we will tell you before asking for payment, and you may accept or cancel without charge.
  • A booking request is not a guarantee. We may decline or cancel it where a service is unavailable or an error in the listed price is evident, and will refund any amount you have paid for it.

4. Prices and payment

  • Prices are shown in the currency displayed (INR unless stated). Prices from suppliers in other currencies are converted at the rate applied at the time of quoting and may vary until confirmed.
  • Unless stated, prices include applicable taxes; any local city tax, resort fee or similar charge payable at the property will be stated before payment where we know of it.
  • Payment can be made through the methods offered at checkout. Online payments are processed by our payment partner (currently Razorpay); we do not see or store your full card, UPI or bank details.
  • Payment schedules (deposit, balance due date) will be shown in your quotation or confirmation. Failure to pay on time may lead to cancellation under the cancellation policy.
  • GST is charged and invoiced as required by law.

5. Changes and cancellations by you

Cancellation, amendment and refund conditions depend on the supplier, rate and dates and are shown before payment and in your confirmation. Please read our Cancellation & Refund Policy. Where a rate is non-refundable, no refund is due.

6. Changes and cancellations by us or the supplier

If a supplier changes or cancels a service, we will inform you as soon as reasonably possible and offer a comparable alternative, a change of dates, or a refund of the amount paid for the affected service. We are not liable for extra costs you incur (such as separately purchased flights) unless the law requires it.

7. Your responsibilities as a traveller

  • Hold valid passports (with the validity the destination requires), visas, insurance, vaccinations and any other travel documents. Visa and entry rules are your responsibility; we may share general information but are not liable for entry refusals.
  • Arrive on time for check-in, pickups and activities. Missing a service because of late arrival is treated as a no-show without refund.
  • Follow supplier rules and local laws, and behave responsibly. We or a supplier may end a service without refund for unlawful or dangerous conduct.
  • Tell us about medical, mobility or dietary needs before booking. Some activities have age, weight or fitness limits.

8. Travel insurance

We strongly recommend comprehensive travel insurance covering medical care, cancellation, baggage and delays. It is not included unless your confirmation says so.

9. Liability

Suppliers are independent. We take reasonable care to choose reliable suppliers, but are not responsible for acts or omissions of suppliers beyond our control, events of force majeure (natural disasters, strikes, war, pandemics, government action, airline or airport disruption), or for loss that was not foreseeable.

Nothing in these terms limits liability that cannot be limited by law, including for fraud or for death or personal injury caused by our negligence. Subject to that, our total liability for any booking is limited to the amount you paid us for that booking.

10. Acceptable use and intellectual property

Do not misuse the platform: no scraping, automated bulk searches, attempts to break security, or resale of our content or rates. All content, branding and software on the platform belongs to us or our licensors and may not be copied without permission.

11. Complaints

Tell us about any problem during your trip so it can be fixed on the spot, and write to info@unitedpanholidays.com within 15 days of your return for any unresolved complaint. We will acknowledge within 48 hours and respond within 30 days.

12. Governing law

These terms are governed by the laws of India. Courts at Guwahati, Assam have exclusive jurisdiction, subject to any rights you have as a consumer under the Consumer Protection Act, 2019.

13. Changes to these terms

We may update these terms. The version in force at the time you submit a booking applies to that booking.
